**Sending policy.**

Promu exists for outreach people are glad to receive. These are the standards every campaign sent with Promu must meet.

Last updated 5 October 2026.

## 1. Why this policy exists

Every email you send affects your own reputation, the reputation of the inboxes and domains you send from, and the trust mailbox providers place in Promu. This policy keeps that trust intact for everyone. It forms part of our [Terms of Service](https://promu.ai/terms).

## 2. Who you may contact

- Business contacts, about something relevant to their role or company.
- People you have a lawful basis to contact under the GDPR and the ePrivacy rules of their country. For individuals, this usually means consent; for business contacts, often a documented legitimate interest.
- Never people who have opted out of your emails or objected to your processing of their data.

## 3. What every email must include

- Your real name and company, and a way to reach you.
- A clear and easy way to opt out, such as an unsubscribe link or replying “no thanks”.
- A subject line and content that honestly reflect what the email is about.
- Where you got the person’s details, if you did not collect them from the person directly, at the latest in your first message.

## 4. Opt-outs

Honour every opt-out straight away and across all your campaigns. Promu adds people who unsubscribe or reply that they are not interested to your suppression list automatically; do not remove them from it or re-import them.

## 5. Healthy sending

Promu monitors the signals mailbox providers use to judge senders. Keep them in a healthy range:

- Bounces: verify your lists before sending and aim to keep bounces below 2%.
- Spam complaints: keep them below 0.1%, and never above 0.3%, the limit Google and Yahoo set for bulk senders.
- Blocks and spam traps: if a provider blocks you or you hit a spam trap, stop sending to that list and clean it before you continue.
- Volume: respect daily inbox limits rather than sending large volumes from new inboxes.

## 6. Never allowed

- Sending to purchased, rented or scraped lists of personal, non-business email addresses.
- Marketing to consumers without their prior consent.
- Deceptive subject lines, false identities, impersonation, phishing or malware.
- Content about illegal products or services, or regulated products without the required licences.
- Harassment, hate speech, threats or content that exploits or endangers people.
- Targeting people based on sensitive characteristics, such as health, religion, ethnicity, sexual orientation or political opinions.
- Techniques designed to hide content from spam filters or to evade our limits, such as rotating domains to escape complaints.

## 7. Reviews and enforcement

We may review campaigns, ask you to explain how you obtained a list, slow down sending or pause campaigns while we look into a problem. If a campaign breaches this policy, we may suspend sending or close the account, and we will tell you why.

## 8. Changes

Mailbox providers change their rules regularly, so this policy may change too. We will tell you about significant changes in advance. Questions: support@promu.ai.
